DescriptionThe Exhibit Project Manager creates and sustains relationships with related industry vendors and cultivates those relationships to sell exhibit space, sponsorships, ads, associate memberships, and online opportunities. Ensures timely updates and review of project progress while tracking budgets. Helps develop floor plans, conduct exhibit space placements, and communicate venue rules and regulations for the SABCS and UT Health San Antonio Special Conferences. Works under the supervision of the Director of Special Events.
Responsibilities
Represent UT Health SA as the liaison in all aspects of exhibitor and sponsorship management to increase exhibitor and sponsorships to SACBS events, focusing on developing and improving relationships with external stakeholders through communication, education, and outreach.
Prepares the exhibitor service kit and exhibitor communications for all exhibitions, meetings, and conferences, where applicable, with SABCS and UTHealth San Antonio.
Assists in targeted solicitations of Corporate Sponsorships at SABCS and UTHealth San Antonio.
Assists in exhibition logistics, working closely with service contractor to develop floorplan and assumes the lead for all onsite operations, including security, contractor set-up/dismantling of the show floor, enforcement of all rules and regulations, exhibitor dissatisfaction and disputes, and development of the post-exhibit survey.
Works to review and appropriately price exhibit space for the Conferences, prepare and submit bill reconciliations, and conduct post-meeting follow-ups and assessments for each exhibition
Collaborates with Marketing staff to build awareness of UT Health San Antonio on exhibitor bulletins and marketing tools available to exhibiting companies, including creating the Marketing Opportunities brochure, which is not limited to Spotlight theaters, meeting rooms, and digital product displays.
Coordinates exhibitions, conferences, and meetings logistics related to requests for proposals, site recommendations and visits, contract pricing, negotiations, and budget management.
Creates written reports on exhibition management regarding convention center and/or hotel service, vendor performance, and other relevant aspects.
Responsible for processing applications, communications with exhibitors, and maintaining all exhibit and sponsorship-related files.
Reviews and approves all affiliate submissions for space and events held during conferences.
Performs all other duties assigned.
Qualifications
Familiar with CAD programs in the development of floorplans.
Able to execute in a fast-paced, high-demand environment while balancing multiple priorities.
Strong verbal, written and interpersonal communication skills.
Able to build partnerships and works collaboratively with others to meet shared objectives.
PC, Microsoft Word, Spreadsheet, database programs and third party apps.
Able to track sales, expenses and revenue and post show analysis.
Job requirements:
Travel – will require occasional domestic and international travel.

CEM Certified in Exhibition Management (preferred).
